Terms & Conditions – Faux Flower Wedding Design Services

Definitions:

“Designer” refers to the faux flower wedding designer providing services.

“Client” refers to the individual or organisation booking the services.

“Items” refers to all faux floral arrangements, décor, props, accessories, and hired equipment supplied by the Designer.

“Event Date” refers to the agreed wedding or event date.

  1. Booking & Payments

1.1 A non-refundable booking fee of £150.00 is required to secure your wedding date. No date is reserved until this payment has been received.

1.2 The remaining balance is due no later than 5 weeks prior to the wedding date.

1.3 Failure to pay the balance by the due date may result in cancellation of services, with no obligation on Winnie Ann Floral Creations to provide the booked arrangements.

  1. Cancellations & Amendments

2.1 All cancellations must be made in writing by the Client.

2.2 The booking fee is strictly non‑refundable.

2.3 If you cancel the booking:

  • More than 12 weeks before the wedding: no further payment required beyond the booking fee.

  • Less than 5 weeks before the wedding: you will be liable for 100% of the total quoted cost due to flowers and materials already ordered.

  • If the client cancels less than 10 weeks before the wedding date the Client will be liable for up to 50% of the total quoted cost due to flowers and materials already ordered.

2.4 Minor changes to design or quantities may be accommodated up to 6 weeks before the Event Date, subject to availability and potential price adjustments.

2.5 Significant design changes may require a new quotation.

2.6 Requests to postpone a wedding are subject to availability and are considered at the Florist’s discretion. Additional costs may apply.

2.7 Reductions in order value after the final balance is paid will not result in a refund.

  1. Faux Flower Designs & Materials

3.1 All items are created using artificial flowers, foliage, and materials as agreed in the design brief.

3.2 Due to seasonal availability, supply issues, and discontinued stock, the Designer reserves the right to substitute materials with suitable alternatives of equal or greater quality.

3.3 Faux flowers may vary slightly in colour and appearance due to manufacturing differences.

3.4 Inspiration images are provided as a guide only. Each arrangement is bespoke and handmade.

3.5 Faux Flowers are highly flammable and should not be used around naked flames of any sort. We DO NOT CONSENT to the use of real candles around or near our hired displays and recommend the same for bought displays.

3.6 We strongly advise that you do not use naked flames of any sort around any of our bought items. It is the responsibility of the client to obtain permission from the venue on how the floral displays will be utilised and lit for decoration.

  1. Hire Items (If Applicable)

4.1 Hired items (e.g., arches, stands, vases, containers, signage) remain the property of the Designer at all times.

4.2 The Client is responsible for ensuring items are not damaged, lost, or stolen while in their care.

4.3 A security deposit may be required for hired items.

4.4 Damaged or unreturned items will be charged at full replacement cost.

  1. Delivery, Set‑Up & Collection

5.1 Delivery, setup, and collection charges will be clearly stated in the Client’s quote and agreed at this time.

5.2 The Client must ensure venue access is available at the agreed times.

5.3 If access delays occur, additional charges may apply.

5.4 The Designer is not responsible for decorating areas outside agreed locations or beyond what is stated in the booking.

5.5 We are not responsible for delays caused by venue restrictions, weather conditions, traffic, or actions of third parties.

5.6 Any hired items (including but not limited to arches, vases, stands, candles, or props) remain the property of Winnie Ann Floral Creations.

5.7 Hired items must be available for collection at the agreed time. Lost, damaged, or unreturned items will be charged at full replacement cost.

  1. Client Responsibilities

6.1 The Client must provide accurate event details (venue, timings, installation requirements, etc.).

6.2 The Client is responsible for gaining venue approval for all décor items.

6.3 The Client must ensure all equipment remains safe and undisturbed once installed.

6.4 Once floral arrangements have been delivered and/or set up, responsibility passes to the Client or the venue.

6.5 We cannot accept responsibility for damage caused by guests, venue staff, weather conditions, animals, or other external factors.

6.6 Faux Flowers are delicate and fragile items.

  1. Damage & Liability

7.1 The Designer accepts no responsibility for injuries, accidents, or damages resulting from misuse or moving of décor items after installation.

7.2 Faux flowers must not be near naked flames, extreme heat, or outdoor conditions not approved by the Designer.

7.3 The Designer is not liable for delays, damages, or failure to deliver caused by events outside reasonable control (e.g., accidents, severe weather, illness, or venue closure).

  1. Photography & Marketing

8.1 The Designer may take photographs of the final set‑up for marketing, portfolio, and social media use.

8.2 No personal or identifying information will be shared without the Client’s consent.

8.3 If the Client does not consent, this must be stated in writing before the Event Date.

  1. Complaints

9.1 Any concerns must be raised on the Event Date, where reasonably possible, to allow issues to be resolved promptly.

9.2 Post‑event complaints must be submitted in writing within 7 days.

9.3 Refunds will not be offered for subjective dissatisfaction where services have been provided in line with the agreed design and terms.

9.4 Nothing in these Terms & Conditions affects the Client’s statutory rights under UK consumer law.

  1. Acceptance of Terms

10.1 By paying the booking fee, the Client confirms they have read, understood, and agreed to these Terms & Conditions.

  1. Governing Law and Force Majeure

11.1 These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales.

11.2 We shall not be liable for failure or delay in performing our obligations due to events beyond our reasonable control, including but not limited to extreme weather, natural disasters, supplier failure, illness, or government restrictions.

11.3 In such circumstances, we will make reasonable efforts to offer an alternative solution or reschedule where possible.
